Garry started the meeting off by giving a little history of the cabin. Did you
know this cabin has been in our family since 1962? Wow! That is a long time! We
all need to take pride in the fact that all of our families have had a hand in
building this wonderful place.
Garry is the person in charge of the Grandma’s Dee’s Trust Fund and keeps the
books and records.
Every five years the lease comes up for renewal, next renewal is 2009. We are
eligible for renewal provided we comply with the regulations of the lease. It is
VERY important that we take pride in this place and always keep it clean and
neat both inside and out! The Forest Service inspects the grounds and cabin
area. They then instruct us to make changes, i.e.: spray for weeds, pick up
items, etc….
The Forest Service has made some changes regarding the lease. The lease amount
will be 5% of the value of the land. In 2005 our property (not counting the
buildings and upgrades) was valued at $46,679.00. Our renewal price for 2009 is
$2335.95.
Our financial statement for Aug 2007-Aug 2008:
Expenses:
Electricity $ 402.00
Telephone $ 422.00
Ins & Tax $1400.83
Lease $2147.01
Total $4372.50
Donations from 1-1-07 to 8-16-08
$2635.27
Garry let us know that the Trust Fund had CD’s that came due at different times
and he used the interest from the most recently due CD to help pay the bills and
rolled the principal back into the CD. The current balance in the Cabin fund is
$1500.00.
Garry also let us know the new paddleboat was purchased with donations! THANKS
EVERYONE FOR PITCHING IN!
Please remember as a family to continue to donate your $250 a year to the cabin
fund. This will help keep the Cabin Fund strong, which in turn will allow us to
keep the cabin in good shape and do the repairs and upkeep that is needed and
required. Thanks to all who continue to donate to our family cabin.
Bill talked about things that get broken. Accidents happen but please get rid of
the broken things and let someone know if it is something that we need to
replace. Things like rubber rafts, light bulbs, chair whatever! Help keep the
cabin picked up and clutter free.
Laura talked about her idea of a Board of Directors. She thought it would be a
good idea if each of the Rafter kids along with one of their kids, initiate a
system such as a board of directors. That way each family has a say on what is
happening with the cabin. The fact is that they (the Rafter Kids) won’t live
forever and we really want this cabin to be in our family forever and have each
of us wanting to help and manage what needs to be taken care of here at the
BuDee Camp.
Karen made a motion to start the Board of Directors now rather than later and to
meet in August before the family meeting. Garry amended that motion to state the
Board of Directors should meet in May or June before the family meeting. This
way they can make recommendations for what needs to be done for the cabin for
that summer and post on the website. Kathy seconded the motion, all approved.
Ray suggested that the board draw up some bylaws to assist in the formation and
actions of the board of directors. The board will take this into consideration.
The board consists of Garry Rafter, Laura Shackleford, Mary Zastrow and Bill
Rafter. Each will pick a family member to join them. They will then post the
entire board on the Website for all to see. Remember that we all have a voice
and if there is a concern or news that needs to get out, contact the board.
Kathy talked about the frustration of coming up to the cabin and having to spend
the first day cleaning because the person(s) who was there last did not clean!!
This is not acceptable and unfair to everyone! She said the garbage’s were left
in the cabin and the cabin stunk, floors were dirty, garbage everywhere
outside……. This is not the first time someone has complained about this issue.
This brought into discussion new cabin rules of cleaning before you leave.
Please read them and make sure all gets completed BEFORE you leave. This is a
HUGE issue and must be taken care of. We all want to come and enjoy the cabin.
Please do your part in cleaning and tiding up before you leave.
Everyone talked about the sewage smell! Clark said he would be in charge of
making sure he adds the chemicals on a monthly basis to the toilet and this
should help the smell! Not sure what else can be done. We may need to empty
the septic tank again for the nest summer season.
Garry moved to have the next family weekend August 15th. Mike amended the motion
suggesting to have it a week earlier so some of us with kids in football or
other sports getting ready for school could make it.
Garry moved to have the next family weekend August 8th, 2009, Kathy seconded the
motion, all approved!
We talked about having a family get-together (no meeting) over July 4th to
partake in the Elbow Lake Fish tournament! So mark your calendars!
Meeting was adjourned.
